Check Whether Existing Stock Can Cover Another Location

Test another location’s available stock against protected commitments, permitted use and the destination’s need before requesting a new purchase.

An internal stock transfer can be a candidate source for a shortage, but a balance at another location is not enough to count it as supply. Establish which units may leave, who can approve their movement and whether they can meet the destination’s need. Until those questions are answered, keep the shortage visible.

The useful output is a transfer-versus-purchase eligibility request. It lets the responsible buyer compare a defined internal option with the remaining procurement need. It does not grant ownership rights, release held goods or prescribe transport arrangements. No actual inventory, transfer approval or arrival commitment has been supplied for this article.

Define one need and one common time window

Start with the destination’s exact item, approved revision, unit of measure, outstanding quantity and required date. Reference the underlying obligation rather than a message saying the location is running low. Identify any existing reservations or inbound supply already deducted from that outstanding quantity.

For this method, the planning horizon is the explicit period in which the destination needs coverage and the source location must protect its own requirements. Record its start, end and relevant dates within it. A single end-of-period total cannot prove coverage of an earlier requirement. If the source must also retain stock for an obligation outside that window, show that separately as a protected quantity under the owner’s actual decision.

Choose a dated inventory snapshot at each location. Later transactions may change the answer, so include the refresh condition in the request. Do not add a presumed transit time or use last month’s movement as a current arrival promise.

Establish what can be considered at the source

Identify the exact stock reference and already-authorized status. Physical presence, ledger balance, eligibility for the intended use and freedom from other commitments are different observations. Here, eligible stock means stock whose identity, recorded status and permitted use already support the proposed allocation; it does not mean every physically present unit.

Confirm the applicable custody and use authority through the actual records. Stock held for another customer, project or owner is not available merely because the same warehouse can see it. If rights are unresolved, send that question to the authorized owner before calculating a transferable candidate. This article assumes the rights question is resolved; it does not decide title from a location field.

Protect the source’s existing local commitments and any separately authorized retained quantity. Identify each reservation by its demand reference so overlapping entries are not counted twice. If a source balance is already net of reservations, do not subtract those same reservations again. If it is gross eligible stock, deduct the protected obligations once.

Calculate a candidate without declaring it transferred

Using a gross eligible source balance, the candidate ceiling is the nonnegative remainder after the source’s protected quantities are removed. The proposed transfer cannot exceed that ceiling or the destination’s uncovered need. Keep a lower operationally proposed quantity separate if the responsible owners select one.

A candidate ceiling is a planning result. A transfer becomes confirmed coverage only to the extent supported by the required authority, identified stock allocation and timing evidence. “Request sent” is neither approval nor a promise that goods will be available at the destination by its required date.

Use distinct states: candidate, authorization pending, authorized within stated scope, timing unconfirmed, and evidenced movement or receipt. These are suggested record labels, not a claim that the buyer has an inventory platform with those functions. Record actual events through the buyer’s approved process.

Prepare the transfer-versus-purchase request

A concise request can ask the source owner to confirm the candidate quantity and the destination owner to confirm applicability. Where movement feasibility requires another provider or specialist, assign that question separately. Do not ask a commercial planner to infer transport acceptance, especially for regulated goods.

Hypothetical example: 18 needed, 14 potentially transferable

Assume one fictional passive item, counted in individual units, with an approved identical revision at locations A and B. For this example, the common planning window is days 1–30. B needs 18 units by day 20, after its own existing coverage has already been accounted for. A has 30 eligible units at the snapshot, before reservations are deducted.

A must retain 16 of those units for separately identified local commitments within the window. There are no other retained quantities or incoming units in this invented example. The source candidate ceiling is 30 minus 16, or 14 units. The proposed internal option therefore covers at most 14 of B’s 18 units, leaving a conditional remainder of 4.

That arithmetic does not yet reduce B’s confirmed uncovered need to 4. Transfer authorization and timing remain unconfirmed, so the request shows 18 currently unresolved, with a candidate route for 14 and a residual scenario of 4. This distinction prevents someone from ordering only 4 while silently assuming the other 14 will arrive.

Suppose the authorized owners subsequently approve all 14 and the accepted timing evidence supports availability by B’s need date. Only under those additional fictional conditions does confirmed coverage become 14 and the procurement remainder become 4. If only 10 are confirmed for that date, the remaining need is 8. The quantity and timing conclusions must move together.

Keep the same units from appearing at both locations

When the approved allocation is entered, link the source and destination records with one transfer reference. The 14 units cannot remain freely available for another A allocation while also being counted as B’s confirmed supply. Nor should an in-transit reference and its eventual receipt create two separate sources at B.

Reconcile the handoff at the actual event used by the buyer’s records. Preserve differences as exceptions rather than changing counts to match the proposal. If a movement is delayed or reduced, reopen the uncovered-need question with its dated consequence. Do not assume the original request still supplies the full quantity.

Close the review with an explicit decision: approved internal quantity, its covered obligation and date, procurement remainder, and unresolved conditions. Freight pricing, transport execution and any physical receiving discrepancy belong to their own workflows. This request has done its job when a purchase decision no longer relies on an unexplained surplus somewhere else.

Evidence limits

This is an original administrative method, not a company policy or transfer service offer. Actual balances, local demand, custody permissions and timing must be supplied and reviewed by the responsible owners. Nothing here establishes safe handling, storage suitability, product life or the right to move another party’s goods.

Frequently asked questions

Can I avoid a purchase as soon as another location reports surplus?

Treat the report as a candidate, then establish exact identity, eligible quantity, protected local demand, transfer authority and availability by the required date. Until those conditions support coverage, retain the destination shortage as unresolved. A source balance alone is not a completed replenishment decision.

How do I prevent double subtraction of reservations?

Write whether the source figure is gross eligible stock or an already-net available balance. With a gross balance, deduct each protected reservation once. With a balance already net of those same reservations, do not deduct them again. Link reservation entries to unique underlying obligations so duplicate records do not inflate protection.

What if the transfer covers the quantity but arrives after the need date?

It does not cover the earlier requirement on the stated plan. Show the late candidate separately and ask the buyer to decide the remaining dated shortage. Moving the horizon end or inventing a faster transit assumption does not resolve the mismatch.

Does transfer approval prove ownership or transport acceptance?

Only the approval’s actual scope is established. Rights over stock, commercial allocation, movement feasibility and any regulated transport requirements are separate inputs. Use the applicable records and qualified owners; this worksheet does not establish legal title or authorize handling procedures.
