Calculate the Inventory Position a Reorder Can Actually Use
Build a reorder-eligible position from recorded stock, existing reservations and supported inbound, with one cutoff and no duplicate deductions.
Before authorizing a reorder request, define which stock and commitments the request can actually use. A recorded physical balance, an unreserved balance and a position that includes future inbound answer different questions. Combining their headings without examining their definitions can produce a plausible total with no clear meaning.
Use a reorder-eligible position bridge: one reconciliation from a dated stock record to the quantity available for a defined planning scope. This is an original administrative template, not a claim about any particular inventory system. No actual stock ledger, purchase order or approval record has been supplied. The numbers below describe fictional passive organizer brackets.
Define the scope before adding quantities
Write the exact item reference, approved variant, individual-unit basis, included location and snapshot time. Set a planning window with a named opening and closing cutoff. If a supply or demand event occurs on a boundary, record whether it belongs inside the window. A date alone may be insufficient when receipts and requirements occur on the same day.
Also define what the output means. In this article, the position represents eligible supply for demand still to be evaluated in the stated window, after removing allocations that must remain protected outside that demand set. It is not simply everything physically present, nor a promise that the full total is available immediately.
Keep one item and one consistent scope per calculation. Do not pool variants because they look alike. Do not include another location merely because someone can see its balance; rights, commitments and any proposed transfer must already be resolved through their own decisions.
Start with a recorded balance, then explain eligibility
Retain the source of the physical balance and when it was recorded. A worksheet can reconcile the reported number without claiming that someone independently counted the goods. If the ledger and latest verified count conflict, identify the unresolved difference and ask its owner to reconcile it before relying on the affected amount.
For this method, eligible on-hand means the portion supported by existing status and usage-right records for the planning purpose. Physical presence alone is not the inclusion test. Goods already excluded under an applicable hold, another party’s rights or an unresolved status remain outside the eligible amount.
Use non-overlapping exclusions. If the same ten units have both a hold flag and an ownership question, deduct those ten once and retain both reasons. A list of issue quantities is not automatically a list of distinct objects. The bridge must connect exclusions to identifiable stock subsets or supported aggregate records.
This step consumes existing decisions. It does not inspect arrivals, release holds, accept product conformity or establish legal title. If those decisions are missing, show an open input rather than silently resolving them in the reorder worksheet.
Map reservations to the demand they protect
For every reservation, identify the obligation, quantity, current authority and whether that obligation is included in the demand basis used downstream. A reservation does not create additional demand merely because it appears in a second report.
Two consistent representations are possible. Keep reserved supply in the position and include the matching obligation in demand once; or remove the reserved supply from the position and remove the covered quantity of that obligation from remaining demand. Never remove the same covered quantity from supply while leaving it in the demand that will be deducted again.
In the bridge used here, protected obligations outside the future-demand set are deducted from eligible stock. The remaining demand therefore excludes those obligations. If another calculation starts from a system field called “available,” first establish which reservations that field has already removed. Do not repeat a deduction just to make the bridge resemble a familiar formula.
Add only supported inbound for this scope
Use the remaining, unreceived quantity of identified commitments, with a supported planning-availability date and matching item, location and unit. Keep quotations, unissued requests and unconfirmed possibilities outside the committed total. A supplier message about general availability is not automatically an inbound commitment for this buyer.
The detailed purchase-order reconciliation belongs in its own record. This bridge imports its checked output and reference. Confirm that received quantities have moved from inbound into the on-hand population without remaining in both. A partial receipt changes the composition of supply; it should not create extra supply.
A horizon total still needs a timing note. Units available near the end of the window cannot satisfy an earlier requirement unless a separately supported arrangement covers that gap. Record time buckets or dated exceptions where sequence matters instead of using a positive closing total as proof of continuous coverage.
Build the position bridge
| Bridge row | Inclusion rule | Evidence or control |
|---|---|---|
| Recorded physical balance | Same item, unit, location and cutoff | Ledger reference and count-evidence limitation |
| Ineligible portion | Unique stock population excluded once | Existing status or rights decision |
| Protected allocations | Obligations outside remaining-demand set | Reservation-to-demand mapping |
| Eligible inbound | Unreceived, supported supply within window | Checked commitment and availability reference |
| Uncertain possibilities | Separate from decision total | Open question, owner and next verification |
| Final position | Reconciled eligible supply for stated scope | Formula, timestamp and reviewer |
Give each adjustment its own reason and source reference. Preserve the starting balance as well as the final figure; otherwise another reviewer cannot tell whether a changed result came from a receipt, an allocation, an eligibility decision or a corrected duplicate.
Worked example: eighty physical units, eighty planning units
Assume a fictional snapshot shows 80 individual brackets. Ten are ineligible under existing status records. Of the remaining 70, 20 are reserved for obligations expressly excluded from the future-demand set. Those 20 remain protected, even if their planned use falls outside this particular window.
Separately, assume 30 unreceived units have supported eligible availability inside the window and are not included in the 80 physical units. The position is 80 minus 10 minus 20 plus 30, or 80 units. The two equal totals have different meanings: only 50 units are eligible and unreserved now; the other 30 belong to future supply.
Suppose the downstream remaining-demand scenario is 65 units and explicitly excludes the protected 20. The end-window arithmetic leaves 15 units, subject to timing. Deducting the protected 20 again would incorrectly show minus 5. Conversely, if the 65 includes those obligations, its membership must be corrected before this bridge can be used with it.
If the 30 inbound units become unsupported, the verified position becomes 50, with 30 shown separately as unresolved potential supply. Do not rename uncertainty as zero actual inbound or certainty as guaranteed arrival. State what evidence changed and which decision now needs review.
Hand over a reproducible number
Finish with the position, immediate on-hand portion, future inbound portion, remaining-demand definition and dated exceptions. Name the owner of every unresolved input. Request approval of the planning basis separately from any purchase authorization.
The deliverable is complete when another person can reproduce the number and identify what it cannot support. It establishes neither storage safety nor product suitability, and it does not guarantee availability throughout the window.
Frequently asked questions
Is physical stock the same as reorder-eligible stock?
No. This method starts with the recorded physical balance and removes uniquely identified quantities excluded by existing status or usage-right decisions. It then treats protected allocations and eligible future inbound separately. The resulting number is a planning input, not a new physical count or a release decision.
How do I avoid deducting a reservation twice?
Map the reservation to its underlying obligation. If its covered quantity has been removed from the supply position, exclude that same covered quantity from the demand still being assessed. Alternatively retain both the supply and matching demand. Check any imported available-balance field before applying another deduction.
Can an open purchase order be included in full?
Only its supported, unreceived eligible portion for the stated planning window belongs in this bridge. Use a separately reconciled commitment record and preserve its date. Received units already in on-hand stock must not remain in inbound, and an uncertain or late portion needs separate treatment.
Does a positive position mean every requirement is covered?
No. The aggregate can include units available after an earlier need. Compare relevant supply and demand dates, preserve protected obligations and identify any timing gap. A closing surplus supports only the stated aggregate arithmetic; it is not evidence of uninterrupted availability or permission to purchase.
