Separate Stock Location from the Right to Use It
Build a rights matrix that separates the physical holder, ownership claims and withdrawal permission before relying on held stock in a reorder plan.
A stock location answers where goods are recorded. It does not answer which buyer may rely on them for a new requirement. Before reducing a reorder because goods sit at an agent, supplier or buyer location, obtain a bounded determination of the relevant commercial rights from the responsible contract owner.
Use a custody, ownership and withdrawal-rights matrix. Its output is a documented planning inclusion or exclusion, with conditions retained. It does not determine legal title or authorize moving or using goods. No actual contract, inventory ledger or ownership record has been provided; the matrix is an original administrative method and the quantities below are fictional.
Ask the rights question before the quantity question
Begin with the exact stock population: existing item reference, revision, lot or other accepted identifier, recorded quantity, unit and holder. Take these from the existing records rather than repeating receipt attribution or inspecting packages. Record the snapshot time and the planning window in which the buyer needs the goods.
Then state the proposed reliance. “Count these pieces toward buyer B’s requirement at location L during window W” gives the contract owner a specific question. “Do we own the stock?” may be too broad to resolve the planned withdrawal, onward allocation or timing. Keep any actual ownership determination separate from the particular permission being requested.
The same method applies whether goods are nearby or remote. Proximity is not the inclusion rule. Nor should a paid invoice, a folder labeled reserved or a holder’s verbal assurance become the only authority for counting the goods. Preserve each as evidence of what it actually says and ask the owner which agreement and decision govern the proposed reliance.
Separate holder, claims and permission
Create distinct fields for the physical holder, the party recorded as owner in a source document, and the person authorized to request or approve withdrawal. A name in one field must not automatically populate the others. Where records disagree, retain both statements and their references instead of selecting the one that produces the larger usable balance.
Do not resolve agreement language yourself. Ask the responsible contract owner for a determination that identifies the covered quantity, buyer, permitted action, conditions and applicable period. If legal interpretation is needed, that owner should obtain appropriate advice. This worksheet records the resulting decision; it does not supply contract advice or a rule for when title passes.
Distinguish three administrative observations: payment recorded, allocation recorded, and withdrawal permission supported. They may be connected by the actual arrangement, but the connection must come from its records. A payment entry is not a substitute for the missing decision, and an allocation for a different project is not permission to divert that quantity.
Build a matrix that leaves uncertainty visible
Use one row for each independently supported stock population. Split a row if different portions have different rights or conditions. The fields below are a proposed working structure, not a claim about any buyer’s software.
| Field | Record from the actual source | Planning question it resolves |
|---|---|---|
| Stock scope | Item, revision, quantity, unit and population reference | Which goods does the decision cover? |
| Holder and snapshot | Named custodian, location and record time | Where are they recorded now? |
| Ownership statement | Exact source wording and document reference | What is claimed, without a new legal conclusion? |
| Agreement reference | Applicable issue and responsible contract owner | Who can interpret the arrangement? |
| Proposed reliance | Buyer, requirement, destination and date window | What specific use of the quantity is requested? |
| Withdrawal decision | Attributable permission, limits and unmet conditions | May the proposed reliance be included? |
| Other eligibility | Existing hold, allocation and timing decisions | Is a separate restriction still unresolved? |
| Planning treatment | Included quantity or excluded quantity and reason | What may the replenishment owner count? |
Keep permissions and physical readiness separate. A rights decision may remove a commercial uncertainty while a previously recorded quality hold remains in place. Equally, goods already accepted by receiving may have an unresolved withdrawal condition. Do not use one favorable status to overwrite the other.
A fictional 100-piece location
Assume an existing record shows 100 identical passive organizer parts at a fictional holder. All quantities refer to individual pieces at one snapshot, and the planning window is the next buyer-approved review period. The window’s length is not a recommended policy or a supplier lead-time assumption.
For 60 identified pieces, assume the contract owner has supplied a decision supporting this buyer’s planned withdrawal within that window. Also assume existing records independently establish all other eligibility conditions and no reservation for another requirement. The remaining 40 pieces have an unresolved agreement question. The mutually exclusive populations total 60 + 40 = 100.
For this example the planning input is 60 eligible pieces, with 40 excluded for unresolved rights. The exclusion does not mean the buyer lacks ownership or that the holder acted improperly. It means the specific permission needed for this planning decision has not been established. The method avoids both claiming all 100 and pretending the other 40 disappeared.
Suppose the owner later supports withdrawal of 15 of the previously unresolved pieces. Identify that subset and retain the decision. If all other eligibility conditions remain satisfied, the revised input is 60 + 15 = 75, with 25 still unresolved. Do not add 15 to a newly refreshed total that already includes those pieces; reconcile the snapshot and the decision together.
Hand the rights result to the inventory calculation once
The matrix qualifies the stock input; it does not calculate a second demand deduction. Label its output as eligible before reservations, or eligible after specified reservations, according to what the actual record contains. Identify any commitments already deducted so the replenishment worksheet does not subtract them again.
For example, the 60-piece result above is expressly unreserved. If a different real record reports 60 physical pieces with 10 already reserved to another job, the replenishment calculation still needs that separate reservation treatment. Conversely, a record already reporting 50 free pieces after that same reservation must not become 40 by deducting the 10 again. Use identified sets and explain which demand is outside the current plan.
A proposed transfer between locations is a later decision. Rights evidence can be one input to it, but this matrix does not arrange transportation, calculate transfer economics or promise arrival. Likewise, a commercial reservation release must be authorized through its own owner rather than manufactured by changing the rights field.
Close the question with an attributable answer
Send the contract owner the exact gap: affected population, proposed reliance, conflicting source statements and decision needed. Ask for a response covering the actual scope rather than a general assurance that the relationship is fine. Record the owner, response reference, date and conditions.
Before updating planning, confirm that the decision still matches the stock population and the current window. Keep expired, replaced or narrowed decisions in the history. The useful outcome is a defensible included quantity and a short unresolved-rights queue, not a universal ownership certificate. Actual custody, contract and withdrawal records remain essential inputs before anyone relies on this method.
Frequently asked questions
Can I count stock at my agent simply because I paid for it?
Use the actual agreement and an attributable rights determination for the proposed reliance. Record payment separately from ownership statements, withdrawal permission and other eligibility conditions. This method does not establish title or decide what a payment legally permits.
Should unresolved stock be recorded as zero?
Keep its recorded physical quantity visible, but exclude the unresolved portion from the supported planning input. Name the missing rights decision and its owner. An exclusion reflects missing support for this decision, not a finding that the goods do not exist or belong to someone else.
Does withdrawal permission remove a quality hold?
No release is supplied by this matrix. Preserve the existing hold decision and route it to the authorized owner. Commercial permission and other eligibility checks are separate inputs; only a quantity satisfying all required inputs should enter the supported replenishment balance.
How do I avoid deducting reservations twice?
State whether the rights-qualified quantity is before or after reservations, and list the reservation identifiers already netted. Deduct only commitments not already reflected in that number. Do not subtract the same requirement again when the result is passed into a broader inventory worksheet.
